1. Acceptance of Terms
By accessing or using the HostelSync platform ("Service"), available at hostelsync.com and app.hostelsync.com, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not access or use the Service.
These Terms constitute a legally binding agreement between you ("User", "you", or "your") and DataHase Technologies ("HostelSync", "we", "us", or "our"), the operator of the HostelSync platform. By creating an account, you represent that you are at least 18 years of age and have the legal capacity to enter into this agreement.
Your continued use of the Service following any updates to these Terms constitutes acceptance of those changes. We encourage you to review these Terms periodically.
2. Description of Service
HostelSync is a Software-as-a-Service (SaaS) hostel management platform designed for Indian hostel owners and operators. The Service provides tools to:
- Manage multiple hostels, floors, and rooms from a single dashboard
- Track occupant records including identity verification via Aadhaar QR scanning
- Automate monthly rent generation and payment tracking using FIFO allocation
- Generate professional PDF receipts for payments
- Record and categorise expenses with receipt uploads
- Delegate hostel management to wardens with granular permission controls
- Access real-time dashboards, analytics, and profit and loss reports
The Service is provided as a web-based application accessible via modern web browsers and as a Progressive Web App (PWA) installable on mobile devices. HostelSync reserves the right to modify, enhance, or discontinue any feature of the Service at its discretion, with reasonable notice to users where practicable.
3. Account Registration
To use the Service, you must create an account by authenticating through Google OAuth. HostelSync does not support email-and-password registration. By signing in with Google, you authorise us to access your Google profile information (name, email address, and profile picture) for the purpose of creating and maintaining your account.
You agree that:
- You will provide accurate and complete information during the registration and profile completion process
- You will maintain only one account per person. Creating multiple accounts to circumvent billing limits, restrictions, or bans is prohibited
- You are responsible for all activity that occurs under your account, including actions taken by wardens you invite
- You will notify us immediately if you suspect unauthorised access to your account
- You will not share your account credentials or transfer your account to another person without our prior written consent
HostelSync reserves the right to suspend or terminate accounts that violate these Terms or that remain inactive for an extended period exceeding 12 months.
4. Subscription & Billing
Free Trial: Every new account receives a 60-day free trial with full access to all features. No credit card is required to start the trial. At the end of the trial period, you must subscribe to a paid plan to continue using the Service.
Pricing Plans: The Service is offered under the following subscription plans, with all prices inclusive of applicable Goods and Services Tax (GST):
Each plan includes management of up to 3 hostels, unlimited occupant records, unlimited warden invitations, and access to all platform features.
Auto-Renewal: Subscriptions automatically renew at the end of each billing cycle (monthly or annually) unless cancelled before the renewal date. You may cancel your subscription at any time through the billing settings in your account. Upon cancellation, you will retain access to the Service until the end of the current billing period.
Payment Processing: All payments are processed securely through Dodopayments, our third-party payment provider. HostelSync does not store your credit card, debit card, or banking details. Payment terms, refund policies, and dispute resolution are subject to Dodopayments' terms of service in addition to these Terms.
Price Changes: We reserve the right to modify subscription prices. Any price changes will be communicated at least 30 days in advance and will take effect at the start of your next billing cycle following the notice period.
5. Use of Service
Acceptable Use: The Service is intended solely for the lawful management of hostels, paying guest accommodations, and similar residential facilities. You agree to use the Service only for its intended purpose and in compliance with all applicable local, state, and national laws of India.
Prohibited Conduct: You agree not to:
- Use the Service for any unlawful purpose, including but not limited to fraud, money laundering, or evasion of tax obligations
- Upload, store, or transmit any content that is defamatory, obscene, harmful, or infringing upon the rights of others
- Attempt to gain unauthorised access to the Service, its servers, or any connected systems or networks
- Reverse-engineer, decompile, disassemble, or otherwise attempt to derive the source code of the Service
- Use automated scripts, bots, or crawlers to access or scrape the Service without prior written authorisation
- Interfere with or disrupt the integrity or performance of the Service or its infrastructure
- Resell, sublicence, or redistribute access to the Service to third parties without our prior written consent
- Store occupant identity data (such as Aadhaar numbers) outside the Service or use the Service to collect identity data for purposes unrelated to hostel management
Violation of these terms may result in immediate suspension or termination of your account without notice or refund.
6. Data & Privacy
Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, store, and protect your personal information and the data you enter into the platform.
As a hostel owner or warden using the Service, you act as a data controller for the occupant records you create and manage within the platform. You are responsible for ensuring that you have lawful grounds to collect and process occupant information, including any identity documents. HostelSync acts as a data processor on your behalf for such occupant data.
You acknowledge and agree that the handling of Aadhaar data within the Service complies with the Aadhaar (Targeted Delivery of Financial and Other Subsidies, Benefits and Services) Act, 2016, and its associated regulations. Only the last four digits of Aadhaar numbers are stored, and verification is performed using UIDAI-certified offline mechanisms.
7. Intellectual Property
Our Property: The Service, including its design, source code, user interface, features, documentation, logos, trademarks, and all related intellectual property, is owned by DataHase Technologies and is protected by applicable copyright, trademark, and other intellectual property laws. Nothing in these Terms grants you any right, title, or interest in the Service beyond the limited right to use it in accordance with these Terms.
Your Data: You retain full ownership of all data you enter into the Service, including hostel information, occupant records, payment records, expense data, and uploaded documents. HostelSync claims no ownership over your data. We will not access, use, or share your data except as necessary to provide the Service, comply with legal obligations, or as described in our Privacy Policy.
By using the Service, you grant HostelSync a limited, non-exclusive licence to process and store your data solely for the purpose of delivering the Service to you. This licence terminates when your account is deleted and the data retention period has expired.
8. Service Availability
We strive to maintain reasonable uptime and availability of the Service. However, HostelSync is provided on an "as-is" and "as-available" basis. We do not guarantee uninterrupted, error-free, or secure access to the Service at all times.
The Service may be temporarily unavailable due to:
- Planned maintenance, which we will endeavour to schedule during off-peak hours and communicate in advance where possible
- Emergency maintenance required to address security vulnerabilities or critical system issues
- Factors beyond our reasonable control, including third-party service outages (such as cloud infrastructure providers, database services, or payment gateways), natural disasters, or force majeure events
The Service is delivered as a Progressive Web App (PWA) that can be installed on your device for quick access. All features require an active internet connection.
9. Limitation of Liability
To the maximum extent permitted by applicable law, HostelSync and its directors, employees, partners, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Service, including but not limited to:
- Loss of revenue, profits, or business
- Loss of data or data corruption
- Unauthorised access to or alteration of your data
- Interruption of business due to Service unavailability
- Actions taken by wardens or other users you have granted access to
In no event shall our total aggregate liability to you for all claims arising out of or related to these Terms or the Service exceed the total amount you have paid to HostelSync in subscription fees during the twelve (12) months immediately preceding the event giving rise to the claim.
You acknowledge that the Service is a management tool and does not constitute legal, financial, or tax advice. You are solely responsible for ensuring compliance with applicable laws governing hostel operations, occupant agreements, taxation, and record-keeping in your jurisdiction.
10. Termination
By You: You may terminate your account at any time by cancelling your subscription and requesting account deletion through the account settings. Upon cancellation of your subscription, you will retain access to the Service until the end of the current billing period, after which your account will be downgraded.
By Us: We may suspend or terminate your account immediately, without prior notice, if you violate these Terms, engage in fraudulent activity, or if your use of the Service poses a security risk to the platform or other users. In cases of non-payment, we will provide reasonable notice before suspension.
Data Retention: Upon account deletion, your data will be retained for a period of 30 days to allow for account recovery if requested. After the 30-day retention period, all associated data -- including hostel configurations, occupant records, payment histories, expense records, and uploaded documents -- will be permanently and irreversibly deleted from our systems and backups.
Data Export: Before deleting your account, we recommend exporting your data using the export functionality available in the Service. Once the 30-day retention period has elapsed, we will be unable to recover your data.
11. Changes to Terms
HostelSync reserves the right to update or modify these Terms at any time. When we make material changes to these Terms, we will:
- Provide at least 30 days advance notice before the changes take effect
- Notify you via the email address associated with your account
- Display a prominent notice within the Service upon your next login
- Update the "Last updated" date at the top of this page
If you do not agree with the revised Terms, you may terminate your account before the changes take effect. By continuing to use the Service after the effective date of the revised Terms, you agree to be bound by the updated Terms.
12. Governing Law
These Terms shall be governed by and construed in accordance with the laws of India, without regard to its conflict of law provisions. Any disputes arising out of or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts located in India.
In the event of any dispute, the parties agree to first attempt to resolve the matter through good-faith negotiation. If the dispute cannot be resolved through negotiation within 30 days, either party may pursue formal legal remedies in the appropriate courts.
If any provision of these Terms is found to be unenforceable or invalid by a court of competent jurisdiction, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.
